Official Passport Nepal: 4 Steps to Apply as a Government Employee

Official Passport Nepal applications follow a fixed process, and skipping a step causes delays. Government employees travelling abroad on official duty do not use an ordinary passport. Nepal issues four separate types for this: Official, Service, Special, and Diplomatic Passport.

Each type is for a different rank or occasion. A short training abroad needs a different passport than a formal diplomatic posting.

Which Passport Type Do You Need

This depends on your position and the reason for travel.

A training, seminar, or official meeting abroad usually needs a Service or Official Passport. The exact type depends on grade and how the ministry classifies the travel.

Diplomatic Passports go only to a small group of senior officials. Special Passports cover a few specific cases.

Confirm the correct type with your ministry’s administration section before starting the online form. The type decides which documents you need later.

Step 1: Apply Online

Go to the website- department of passport , Nepal. and click Apply for Passport.

Choose whether this is a new passport, a renewal, or a replacement for a lost or damaged one.

Ordinary applicants stop at the 34-page passport option. Government employees instead click Other Passport Type, found just below it, and select their category.

Step 2: Book Your Appointment

Set the location to Department of Passport, Tripureshwor. These four types are not handled at district offices.

Pick any available date and time. Slots here are more flexible than for ordinary passports.

Step 3: Fill the Form

The form asks for standard personal and service details.

A National Identity Card number is not required for these four passport types, even if the form looks like it expects one.

Documents You Must Upload

Four documents are required, and each proves something different.

Citizenship certificate, original copy. This confirms your identity.

Recommendation letter from your ministry. This confirms the government approved your travel. Provincial employees get it through the Ministry of Foreign Affairs. Local-level employees get it through the Ministry of Federal Affairs and General Administration, or the relevant subject ministry.

Decision letter, certified copy. Upload the first page, the page with your name, and the last page.

Old passport, original copy. Required only for renewals.

What the Recommendation Letter Must Say

This letter matters the most, so its content has to be exact.

It must include: full name, position, service, group and sub-group, grade or level, employee ID number, current office, expected retirement date, training or program name and duration, and destination country.

A missing detail here is the most common reason applications get sent back. Check the draft letter against this list before it gets signed.

Step 4: Visit the Department of Passport

Print the completed form.

Carry the original citizenship certificate, the original recommendation letter, and the certified decision copy to Room 108 at the Department of Passport, Tripureshwor.

Staff there check these documents against your online submission.

Employees from the Nepal Army, Nepal Police, and Armed Police Force must come in uniform. Arriving in civilian clothes usually means being asked to return another day.

Mistakes That Cause Delays

Booking the appointment before confirming exact program dates with the ministry. The recommendation letter then shows different dates than the online form.

Submitting a plain photocopy of the decision letter instead of a certified one.

Renewal applicants forgetting to bring the old passport in original form.

Relying on what worked last time instead of checking current rules. Passport requirements do change, so confirm with the official website or the Department of Passport before your appointment.
